  1. Have the first of three purge days to reduce files and cupboard contents.
  2. Schedule a pick up for archive storage boxes.
  3. Review all vendor schedules at both buildings and resolve delivery / removal conflicts.
  4. Contact insurance companies and schedule in a transfer of coverage.
  5. Contact service providers, clients and other vendors about change of address.
  6. Check with building management of potential issues with lifts and security. Get after hour contacts and find out response times in case of problems. Look into having a lift engineer onsite during move hours.
  7. Schedule cleaning for new and old office space for after the move.
  8. Plan on whom and how your company will deal with post move issues regarding data, computers, phone, furniture and moving. Set up a temporary help desk to cover these issues.

Two weeks prior to move

  1. Have the second of three purge days.
  2. Identify any employees who may require extra help when moving their work files .
  3. Review and re communicate to employee packing and labelling requirements
  4. Confirm relocation schedule with all vendors
  5. Receive first delivery of packing crates , labels from moving company.

One week before move

  1. Begin to pack non-critical areas.
  2. Label all furniture packed crates and IT equipment.
  3. Final crate delivery from moving company if required.
  4. Start snag list for construction contractor and new furniture supplier.

 One or Two days before move

  1. Schedule inspection and note existing building damage with mover supervisor.
  2. Complete all packing and perform pre-moves with all relevant staff
  3. Complete punch list for construction and furniture vendor.
  4. Have new office floor plans available to be viewed by moving company, for use by the movers, data / IT  and phone company if not in place already.
  5. During the final packing emphasize the purge campaign (third of three). Do not bring your old and out dated business files to the new office.

 Moving Day

  1. Make sure everything has been properly labelled VERY IMPORTANT
  2. Make sure all sensitive data has been backed up.
  3. Prepare all computers, copiers, and other electronic equipment for moving.
  4. Turn the relocation over to the movers and stay out of the way. During the move the employee should go home taking any personal belongings with them.
  5. Near the end of the move do a final walk through with move supervisor to make sure everything has been taken. In the new building do a walk through to make sure everything was placed where you planned.
  6. Set up help desk.

 After the move

  1. Remove moving boxes and complete unpacking.
  2. Resolve issues as reported to help desk.
  3. Perform training for phone, security and new office procedures.
  4. Make decisions about artwork and plant placement.
  5. If you moved in under a Temporary Certificate of Occupancy you need to schedule final inspections to get the full CO. Complete all construction and furniture snag list items.

Pianos are one of the harder items in a household removal, considering their size, awkward shape, and bulkiness. It’s a good idea to enlist the help of CMR Relocation .  The baby grand can weigh between 500 to 1200 hundred pounds so at the least you will need three men.

1. Remove Lid and Pad wrap.

2. Remove Pedals and Pad wrap.

3. Remove Lyre and Music Rack and Pad. Remove piano hinges (very important to remove piano hinges because if they are not removed they could cause major damage when the piano is placed on the piano board.) Secure all loose parts in a separate box ,label and stretch wrap.

4. Station the piano shoe (this is the equipment specially used for moving pianos) next to the long side of the piano, set a clean pad (protective blanket)on top of the board. As two of the movers hold the weight of the piano, the third man removes the front left leg. Piano is tilted and lowered onto the piano show and then positioned.

5. Remove remaining legs and pad wrap all.

6. Wrap entire piano body in clean pads while on the piano board and then stretch wrap piano

7. Piano is then secured to the piano board with logistic straps.

8. In case of snow or gravel, plywood or a truck walking ramp, can be used to assist in rolling the piano to the truck. All CMR Relocation trucks are fitted with a column tail lift , to aid the loading of the piano.

9. On arrival at the other end, pad all hallway floors as you wheel the piano to its final destination and reverse the process. You may need to have the piano tuned once it has been positioned correctly.

Packing supplies

Most moving companies have/can provide bubble wrap, plastic wrap, crates, packing paper and other items that will help limit items getting damaged.  Packing computers and copiers is best left up to the professionals.  Speak to your movers and have them make arrangements to have them packaged and transported safely on the day of the move.


So many keys get lost and misplaced during a move.  They even get packed into boxes. For boxes not labeled correctly it can be like looking for a needle in a haystack.  Make sure staff know what the procedure is for keys and all will be great when they arrive at their new work space.

Double Check

It certainly doesn’t hurt to double check the plans and make sure  everyone is on board. Remember the key is to have the move well organized so that any unforeseen circumstances can be dealt with quickly and easily on the day of the move.

Four steps for a smooth house move

  1. Organise your belongings 6 to 8 weeks in advance. This is the time to sort through your garage and shed  spaces and throw out or donate any items that you no longer need. The rest of your belongings should be packed into boxes and clearly labelled for transportation by the removal company.
  2. Gather packing supplies 6 weeks in advance. If you are going to pack your self , start purchasing and gathering packing supplies far in advance.

  3. Book travel arrangements 6 weeks in advance. If you’re moving home across country, you may need to book temporary accommodation, car rental etc ,whilst the movers are making their way to your new home.
    Even if you are moving from one end of town to the other , take the time to book your moving service far in advance to secure the dates you need . If at all possible, keep your travel arrangements flexible to account for any delays or cancellations.
  4. Change your address 2-4 weeks in advance. In the month leading up to your big move, it is the perfect time to inform your change of address to organisations such as credit card companies, utility companies, insurance companies, banks and especially to friends and family.

On moving day, don’t forget to do a final walk-through of your home to make sure that no important belongings were overlooked.

Office relocation checklist – tips for moving office

Before the move (planning)

  1. With the floor plan for your new location, work out at which desk each person will sit.
  2. Assign each desk a number. It’s easiest to sequentially number the desks.  Also alter the number pattern per department. For example, if all your Marketing people sit in one area, assign their desks numbers 100 to 150, your IT Team 200 to 220, Customer Service 300 to 340, and so on. It makes items and areas more easily identifiable.
  3. People with individual offices should have a number assigned to the office. I would number offices situated next to each other sequentially.
  4. Match your numbered floor plan with the staff members who will be assigned that desk/office.
  5. Name communal spaces, up to you if you use names or numbers, just make sure they are clear.
  6. Work with IT to ensure all data and power needs are ready (or will be ready) for moving day.
  7. Confirm that you have all details to access the building and that there will be parking available for removalists.

 Before the move (communications)

  1. To the removalists – send them copies of your numbered floor plan so that they have an understanding of the layout ahead of time.
  2. To staff – send clear instructions about the process of packing, along with a cut-off time to have their packing finished. Make sure they understand that any items that are not packed properly will be left behind and then disposed of.
  3. To staff – send a map of the new location so they understand how to get there, where to park, what public transport is available, etc.

 Before the move (packing)

  1. Give each staff member his or her allocated desk number.
  2. Tell staff members to number all boxes, computer screens, hard drives and furniture. Ideally, each item type should be labelled in the same spot (base of the computer screen, top of hard drive, etc).
  3. Filing cabinets should be emptied and locked or taped closed for easy removal.
  4. All keyboards, cables, phones etc should be placed in plastic bags and labelled with their allocated number.
  5. Laptops, iPads and any other valuable/personal items should be taken home rather than packed.
  6. Items for shared areas such as kitchens or utilities rooms should be labelled in the same way they are on your floor plan.

 Before the move (at your new location)

  1. Post signs for the removalists with directions to each area. For example, ‘For Numbers 300-500, turn right’.
  2. If you are moving desks into the space, use masking tape, or similar, to plot out where the desks should go. Label each space with its number. Obviously, make sure you’ve measured up ahead of time to make sure everything will fit.
  3.  If the office is already fitted out then label the desks with their location number.

 During the move

  1. Depending on the size of the move you may need to arrange to have company representatives at both locations; if there’s more than one truck working, someone needs to be at the new location to meet the first one that arrives while someone stays at the old location until the last of the trucks have completed their work.
  2. Try to have the removalists work on one area at a time, especially in a bigger building. It will ensure you can be there to provide instructions and answer questions.
  3. Wait until everything has been moved in before trying to connect phones and computers. This usually means waiting until the day after the move. You should aim to have all computers connected before staff return to work again.
  4. Before staff return, do a quick check to see that the boxes and items on peoples’ desks correspond with their allocated number.
  5. A nice touch is to create personalized desk labels for each staff member with their name, photo, job title and company logo and leave them on their new desks. It’s a nice surprise for staff and much more welcoming than the location numbers.

Before staff arrive

  1. Check the building is safe for people to enter, that any rubbish has been removed and walkways are clear.
  2. If the building is big, put up signage with directions for each team to find their way around.
  3. Spot-check all facilities – make sure power, toilets, fridges etc are working.
