How does moving office affect your employees

Comments Off on How does moving office affect your employees

No matter why your company is moving, whether it’s because of a downsize, cheaper floor space, an expansion or to be located closer to customers, it’s important to ensure that employees are taken into consideration, kept informed and feel part of the move.

New Location and How it Affects the Commute

Most companies make the decision to move because it’s best for their bottom line; this is what companies must do to ensure their viability. However, it doesn’t mean that employee needs shouldn’t be considered.

    • Let employees know where the new office will be located and what kind of changes to their daily commute this might entail. Use your employee database to assess which employees might be commuting further or for those individuals who commute by transit, if transit is still accessible to the new location.
  • If there are issues, bring these forward to the affected employees to let them know their options, whether that’s helping out with transit fees or parking space. Even if you can’t offer any incentives, provide employees with the information far in advance of the move to allow them to decide if they should pursue other employment options that have a shorter commute.
  • If possible, allow those employees affected by the move, to have a more flexible schedule. Perhaps they can come in earlier or later, depending on the traffic flow and what might work best for the new commute.
  • Let employees know if there will be a change in parking space and if they’ll have parking paid. Ask employees ahead of time what they require so you can try to provide enough parking for everyone who requires it. If this isn’t possible, let them know if there are other options and what you’re willing to do to assist them in coping with the change to their commute.

Keep Communicating Throughout the Move

Communicating with employees on a regular basis about the move is key to keep them in the loop and to ensure that hear-say is kept to a minimum.

    • As soon as you can, let employees know about the move. You should try to give them enough time to ensure that the new location will work for them, so they can get used to the idea of moving and make the right decisions for themselves. Also, provide a time line of how the move will proceed, what their role will be and what you expect from them.
  • In return, provide employees with a feedback form that they can submit either anonymously or with their name attached. Allow employees the opportunity to express their concerns, put forward questions and ensure that there’s sufficient time set aside for company-wide meetings.

Get Employees Involved

Once you know where the company is moving to, what the new space will look like and a time frame established, it’s a good idea to have employees get more involved in the move, more than simply packing up their office space.

    • Ask staff their opinion on how the new office space will work, how things could be set up for efficiency, staff enjoyment and overall working environment. The more staff become involved in the decision-making process, the greater the input and team support. This is essential to keeping morale high during what can often be a difficult time.
  • Find out if there are things about the current (old) office that didn’t work and that might be improved in the new space. Perhaps this might be the set-up of the photocopier room or the location of the staff lounge or the lack of desk space in each office. Employees are the best consultants when it comes to improving work flow and environment.
  • Ask opinions on new branding. If your company has decided to re-brand as part of the move, ask employees to contribute their opinion to the new company look. Remember, a move is a great time to reaffirm company’s ideals and put a fresh face forward.
  • Create an information package about the new neighborhood. If your company has been located in one place for a while, employees will have their favorite eating spots, coffee shops and business-related services nearby. To help with the transition, create a list of local businesses that are in the new neighborhood, including restaurants, cafes, gyms, day care centers, dry cleaners and grocery stores. If you’re a small business owner, you might consider taking an afternoon off to visit the new area with your employees. Let them see the new space and spend some time in the area. Again, this will ease the transition.

House moving horror stories (YOU CAN NEVER PLAN TO SOON TO MOVE)

Comments Off on House moving horror stories (YOU CAN NEVER PLAN TO SOON TO MOVE)
Horror 1
Not a horror story, but when we moved in here the day was a bit of a mare.
Removal men arrived at 9am and the van was packed up and ready to go by 10.30. Got the call at 11 saying that we’d got our buyers money and our money had got to the people we were buying from so ready to go by 12.
We got to the agents at 1 ish and they said they hadnt got the keys yet. They phoned the vendors who hadnt even started packing and said they’d be AT LEAST 2-3 hours.
Apparently, the house they were buying was the problem. It had been empty since March (this was in Sept) when the old boy living there died. They went round at 10ish to see if they could start moving stuff in and the family of the deceased bloke were having a farewell party for the house. The place was full of people suited up with a buffet in the middle of the living room. I mean, could they not have done it the day before????
Bear in mind, I was 13 weeks pregnant at the time and not feeling great anyway. We ended up getting in here about 5pm after being ready since 11am.
Horror 2
When we came to move in to our new house the previous owners were still there and hadn’t moved anything! We had to store all our stuff in the garage and wait for them to move their stuff. We spent the next day moving furniture etc from the garage into the house. They hadn’t boxed up a thing! We’d been living out of boxes for a week to make sure that we would be out of our house on time. It was pandemonium.

In a way though, it was a blessing. The house was so filthy it was unbelievable so at least I had the chance to give it a good clean bafore we moved our stuff in.

We had another problem in that we were due to pick our new car up the day after we moved and we were using some of the proceeds from our old house to buy it. The solicitors cocked up and kept £5k of our money and it was a nightmare running around trying to get it sorted – especially as it was a Saturday (we moved on a Friday) and the Solicitors and Banks were only open until 12!

Horror 3

I have quite a few, but I am an Estate Agent, so I see horror stories all the time unfortunately, but a couple of random ones..

.. the bank miskeying in the solicitors account numbers so money goes missing in the middle of a chain and people don’t complete when they’re meant to – happens far more often then people realise…

..the punch up that happened outside our office (highly entertaining) when a couple moving out of their flat, using only a small car to transport their stuff, were somewhat surprised when the new owners were getting upset and tetchy when they still weren’t even close to having moved out by 5.30pm (having completed at 12) – they couldn’t quite grasp the fact that they didn’t own the property anymore and had no right to be there, cue wound up people and fraying tempers…

Planning To Move Your Office Read On

Office relocations should always be considered seriously by any business looking to relocate , CMR Relocation Ltd understands a move requires forethought, detailed planning , with military precision.

Any office relocation should be an exciting time for a growing business, but a failure to comprehend the full impact it’ll have on your services, your customers and on your staff could spell disaster.

Do your research. Plan your move.

Discover the 4 most important things you need to consider in order to ensure a smooth and trouble-free move.

1. The most important aspect of any office relocation is…

Communication.

Communication.

And even more Communication.

You can’t spring an office relocation on your staff. You need to give them fair warning.

Explain to them the reasons that led up to the decision to move as fully (and as early) as you can.

Business transparency is vitally important in maintaining trusting, honest relationships with your employees.

Offer your support and remain open to suggestions when it comes to important considerations, like seating arrangements and various working or disability requirements.

2. Then take some time to draw up your plans

A successful office relocation depends on clear, detailed plans being put in place as early as possible.

Start with the details. Take measurements of your new office space and draw up an accurate visual plan. Once you have a clearly defined space to play with, you can work on equipping and filling it with the things you need.

Will you need to take all the office furniture over to the new office, or will you need to buy new stuff?

Work out exactly what’s coming with you and what you intend to leave behind.

Answering these questions early means you can get a head start on ordering what you need, and come the big day, you’ll be able to provide the removal firm with clearer and more decisive instruction.

There’s no point paying for the removal and delivery of furniture that you have no use for. So don’t.

3. IT and telephone infrastructure

We know that communication is the most important aspect of any office relocation – but how will you communicate when your IT and telephone systems are all packed up in boxes?

Minimise communication downtime by giving plenty of thought to how you’re going to relocate your IT systems.

Is your new office equipped with all the necessary cabling? Do you need to arrange for additional phone lines to be installed before you move?

IT system relocation doesn’t happen all at once. It’s a process that needs to be done in phases.

As soon as you’re in the new office, you should be up and running with an operational communications infrastructure (even if it is a little basic).

4. Hire a professional removal firm

Physically moving all your office equipment from one office to the other is usually the hardest part of any office move.

So don’t attempt it yourself.

Taking matters into your own hands can sometimes spell disaster. Hire professionals instead, and let them take care of your office relocation.

A professional office relocation company like CMR Relocation Ltd , understand this process extremly well we are not like the average removal company – We actually listen to what you need and what your business requires, we will also provide you with a move manager, who will be your one point of contact . We are also extremely flexible and understand, the best laid plans sometimes change, why not give CMR Relocation a call, to discuss your next office move.
